The Administrator will be responsible for the management of the company’s administrative and financial systems and legal obligations at approx. 0.4FTE.

The Administrator is appointed by the Tasmanian Theatre Company Board and on a day to day basis is directly responsible to the Artistic Director (CEO)

Perform administrative duties in line with the day to day running of a theatre company including:

Undertake all payroll and superannuation transactions using MYOB Account Edge Pro, including ATO Single Touch Payroll
Keep the Fee Payment Schedule up to date and accurate
Process the monthly ATO Activity Statements/GST requirements
Receipt and bank all incoming monies and enter all accounts paid and received into the MYOB accounting system
Generate, distribute and track payments on Invoices
Reconcile box office takings and maintain records of takings
Calculate and process royalty payments as required
Manage petty cash and production floats
Undertake monthly reconciliations of bank accounts and credit card accounts
Undertake assistance with funding acquittals

Attend Board meetings and take the minutes
Compile and distribute minutes and financial papers to board members
Administer the company’s Not-for Profit status with the ATO, ACNC and ROCO and comply with the reporting requirements
Compile the annual financial audit to the satisfaction of the company auditor
Liaise with the company insurance broker for adequate coverage including workers compensation and public liability

Write artist contracts, from templates based on information provided, and track their return
Manage the requirements of the company vehicles and storage facility
Maintain and order office stationery and supplies within an allocated budget
Undertake printing, photocopying, e-mailing as required
Organise Front of House for TTC Shows including coordinating volunteers for ushering and bar duties and box office float, tickets, programs etc.
Assist the AD with other administrative duties such as proof-reading, minor edits to the website, etc.


Essential skills
Demonstrated experience working with MYOB Accounting Payroll
Demonstrated experience working with internet banking
A demonstrated understanding of theatre ticketing systems (Seat Advisor Trybooking, etc)
A demonstrated systematic approach to work routines, and the ability to prioritise workloads and manage time and resources within given deadlines
Sound spelling, basic mathematical and written skills
Advanced computer skills including data entry, word and excel
Demonstrated strong financial skills   
A demonstrated ability to work as part of a team in an environment subject to work pressures and change
High level customer service and communication skills
A demonstrated ability to self motivate and self manage

Other requirements
A current manual Driver’s Licence

A sound working knowledge of Apple Macintosh working environment
An interest in the arts and particularly theatre
Arts Industry experience
Front of House experience
Digital Marketing skills
Basic coding and web management skills (Squarespace, Wordpress, etc)
Strong arts, media and cultural networks
